Integration
Outlook calendar and IDA: jobs in the calendar, busy times in planning
A job that only exists in IDA is invisible to the technician on the road. So IDA writes appointments straight into the Outlook calendar of everyone involved, with a reminder on their phone. The other way round, planning in IDA shows when someone is already busy in Outlook - without revealing what private appointments are about.
What IDA reads from Microsoft 365 calendar
- Busy times per employee - busy, tentative or out of office - without subject or content
- Each employee's mailbox via their email address
What IDA does with it
- Appointments from IDA appear in the Outlook calendar of everyone involved, with a reminder on the phone
- Moving, cancelling or removing a participant takes effect in the calendar straight away
- Department appointments go to every member of the department
- Job planning shows when someone is busy in Outlook, private blockers included
Who it is for
IT service providers on Microsoft 365 whose technicians run their day in Outlook and on their phone.
Setup: Requires the "Microsoft 365" connection: an app registration in your own tenant with the calendar application permission and admin consent. If you sign in to IDA with Microsoft, that app can be reused. We recommend limiting access to a security group; the help in IDA shows the command.
Every integration in IDA has its own switch. Turn it off and it disappears completely - including the columns, filters and reports that belong to it. You only see what you actually use.
Vendor website: Microsoft 365 calendar. Microsoft 365 calendar is a trademark of its respective owner; IDA connects to the system technically, which implies no partnership.

Questions about the Microsoft 365 calendar integration
Do changes in Outlook flow back to IDA?
No, IDA is the source. An IDA appointment moved in Outlook is overwritten with the next change in IDA, and the appointment says so. That way there are never two truths about a job.
Does IDA see what my Outlook appointments are about?
No. Only time ranges and status are read - busy, tentative or out of office. Subject, location and attendees stay in Outlook.
Can the app read every calendar in the company?
Without a restriction, yes - which is why we recommend limiting it to a security group in Exchange. Employees outside the group are skipped and listed with the reason.
