Google Calendar and IDA: jobs in the calendar, busy times in planning

For teams on Google Workspace, the same as with Microsoft 365: IDA writes appointments into the Google Calendar of everyone involved and shows during planning when someone is busy there. What private appointments are about stays in Google.

BetaThis integration is built and usable, but has not yet run against a production third-party system - it was written against the vendor’s public interface documentation. Expect some follow-up work on first connection. We would rather say so up front than let you find out.

What IDA reads from Google Calendar

  • Busy times per employee, without subject or content
  • Each employee's account via their email address in your Workspace domain

What IDA does with it

  • Appointments from IDA appear in the Google Calendar of everyone involved, with a reminder on the phone
  • Moving, cancelling or removing a participant takes effect in the calendar straight away
  • Job planning shows when someone is busy in Google

Who it is for

IT service providers on Google Workspace whose technicians run their day in Google Calendar.

Setup: A service account with domain-wide delegation in the Google Admin console, granted for calendar events and free/busy queries. Because Google cannot limit delegation to a group, you choose the participating departments in IDA.

Every integration in IDA has its own switch. Turn it off and it disappears completely - including the columns, filters and reports that belong to it. You only see what you actually use.

Vendor website: Google Calendar. Google Calendar is a trademark of its respective owner; IDA connects to the system technically, which implies no partnership.

Questions about the Google Calendar integration

Do changes in Google flow back to IDA?

No, IDA is the source. An IDA appointment moved in Google is overwritten with the next change in IDA.

Why do I have to pick departments in IDA?

Because domain-wide delegation in Google applies to every account in the domain and cannot be limited to a group. The selection in IDA decides whose calendars are actually touched.

What does "beta" mean here?

The integration is built but has not yet run against a real Google Workspace. The core is the same as for the Microsoft 365 calendar, which runs in production; only the path to Google is new.
