A laptop comes back faulty. It enters quarantine as a return and therefore does not count as sellable. The serial number shows which customer it went to and when, and which purchase order it came from - the claim with the supplier hangs on the same ticket.
Frequently asked questions
Can we make serial numbers mandatory?
Yes, per item. For items flagged as serialised, IDA requires the number at goods receipt and at goods issue - which is what keeps the chain unbroken.
How do we stop promised goods being sold twice?
Through reservation from the draft delivery note. As soon as something is assigned to an order it is no longer freely available, even while it is physically still on the shelf.
What happens to customer devices in for repair?
They are tracked as returns without touching stock. They are findable and linked to a ticket, but they raise neither the stock count nor the stock value - they belong to somebody else.
Can we build devices from parts?
Yes. If an item has a bill of materials it can be produced: the components are booked out, the finished device booked in. Where components are serialised, the specific number must be given - IDA deliberately books nothing out silently, because that would break traceability. Pure services or licences in the bill of materials count towards the costing but are not taken from stock.
Is there a stocktake?
Yes, with a count list, a variance list and valuation. The result enters the books as a stock correction.
