A public authority requires the invoice as XRechnung with a routing ID. The ID sits on the customer, the format on the document - on approval IDA checks the mandatory fields, produces the XML and sends it from your mailbox. Every other customer gets the same invoice as a PDF with embedded ZUGFeRD XML.
Frequently asked questions
What is the difference between ZUGFeRD and XRechnung?
ZUGFeRD is a PDF with embedded XML - readable by people and machines at once. XRechnung is pure XML and the standard for German public sector customers. IDA produces both; which format a customer receives is stored on the customer.
Is archiving audit-proof?
No - IDA produces and sends your documents but explicitly does not provide audit-proof archiving. For statutory retention you export the documents into a suitable archive; handover to a document management system such as ecoDMS is available as an integration.
Can we use our own letterhead?
Yes. In the template designer you set logo, colours, header and footer and arrange the blocks - separately per document type, so a quote may look different from a dunning letter.
Which address are invoices sent from?
From your own mailbox, which you configure in IDA - through Microsoft Graph or SMTP. Your customers see your sender address, not a provider one.
